Refund & Cancellation Policy

This Policy explains how cancellations and refunds work for ZyraMax’s scope-based professional services in Japan.

1. Scope

ZyraMax provides scope-based professional services such as document mapping, clause notes, checklists, and timeline summaries. Specific deliverables and timelines are confirmed through direct communication before work begins.

2. Cancellations

You may request cancellation by contacting us in writing (email is acceptable). Cancellation requests should include your name, the subject line used in your request, and the date of the request.

  • Before work begins: cancellation is generally possible with minimal administration impact.
  • After work begins: cancellation may result in charges for work completed up to the cancellation point.

3. Refunds

Refund eligibility depends on whether work has started and whether deliverables have been provided. Where permitted and appropriate, refunds may be issued for the portion of services not performed.

  • If deliverables have not been started, refunds may be considered according to the agreed terms of engagement.
  • If deliverables have been partially completed, refunds may be adjusted to account for time spent and work performed.
  • If agreed deliverables have been delivered, refunds are generally not available for completed work.

4. Digital services & deliverables

Deliverables may be provided in digital form (e.g., checklists, summaries, notes). Once a deliverable is provided, it may be considered “performed” for the relevant scope. If revisions are included in the scope, they will be handled according to that scope.

5. Exceptions

Refunds or cancellations may be limited where:

  • Work was completed as described in the confirmed scope.
  • Delays result from missing information or delayed responses from the requester or third parties.
  • Requests involve work outside the confirmed scope (which requires separate confirmation).

6. Request process

To request cancellation or refund consideration, email us with:

  • Your full name and contact email used for the request.
  • The service tier or description of the requested deliverables.
  • The reason for your request.
  • Any relevant dates (requested start date, desired cancellation date, delivery date if applicable).

We may ask for clarifying information to identify the relevant scope confirmation and deliverables.

7. Disputes

If you have concerns about a deliverable or scope interpretation, please contact us first. We aim to address issues through clarification and, where applicable, revision options within the confirmed scope. If a dispute cannot be resolved informally, applicable laws of Japan will apply.
